Job Purpose (Confirmations Clerk)

The Confirmations Clerk is responsible for obtaining and managing hospital case authorisations and re-authorisations from medical schemes.

The role involves communicating with patients, doctors, medical schemes and other stakeholders to ensure authorisations are processed correctly and on time, while helping the hospital minimise financial risk.

Minimum Requirements

Applicants applying should have:

  • A relevant NQF Level 5 Clinical qualification.
  • 1–2 years’ experience in a medical scheme or private hospital environment.
  • Demonstrable experience working with patients, doctors and medical schemes.
  • Experience using SAP or a similar healthcare/administrative system.
  • Computer literacy.

Advantageous

  • A relevant post-Matric qualification.
  • Medical coding experience or related qualification.

Key Skills and Knowledge

The successful candidate should have knowledge of:

  • Hospital operations.
  • Medical scheme standards and processes.
  • Patient confirmations and authorisations.

Key Responsibilities

Patient Authorisations

  • Obtain daily authorisations and re-authorisations for identified medical scheme patients.
  • Obtain authorisation within 8 hours for unplanned medical scheme patients.
  • Obtain authorisation on the first Monday following the admission of Emergency Unit patients over a weekend.
  • Monitor outstanding and pending authorisations.
  • Escalate unresolved authorisation matters to the Senior Case Manager.

Data Capturing and Administration

  • Capture patient and authorisation information accurately and timeously.
  • Maintain accurate records on SAP or relevant systems.
  • Ensure documentation complies with hospital and medical scheme requirements.
  • Work according to ICD-10 and CPT coding requirements.
  • Communicate relevant authorisation information to all parties.

Patient and Family Communication

  • Liaise with patients and family members regarding suspended, pending or declined authorisations.
  • Explain relevant processes professionally and clearly.
  • Keep the Case Manager informed of patient-related authorisation issues.
  • Assist mothers or guarantors with medical scheme registration forms for newborn babies.
  • Follow up with medical schemes to ensure newborn registrations are completed.

Doctors and Medical Schemes

  • Communicate with doctors regarding relevant medical scheme codes and exclusions.
  • Ensure doctors are informed when medical schemes decline certain codes.
  • Build positive working relationships with doctors.
  • Keep doctors updated regarding medical scheme-related issues.
  • Communicate effectively with medical schemes to resolve outstanding authorisation matters.
