Job Purpose
The successful candidate will provide comprehensive clerical, secretarial, and administrative support to ensure the efficient operation of the Office of the Divisional Head. The role requires excellent organisational skills, professionalism, and the ability to manage multiple administrative tasks effectively.
Key Responsibilities
As the Secretary, you will be responsible for:
- Managing the Divisional Head’s diary and scheduling appointments.
- Coordinating meetings, venue bookings, refreshments, and travel arrangements.
- Screening incoming calls, emails, correspondence, and messages.
- Responding to routine enquiries and ensuring follow-up on return calls.
- Preparing, formatting, copying, and distributing reports, presentations, and official documents.
- Maintaining an effective filing and records management system.
- Monitoring action items and following up on outstanding correspondence.
- Communicating with internal and external stakeholders professionally.
- Ensuring smooth day-to-day administrative operations within the office.
Minimum Requirements
Applicants must have:
- Grade 12 (Matric)
- Secretarial Certificate
- 1–2 years’ experience in a similar secretarial or administrative environment
Candidates may also be required to provide proof of the NQF level of their qualifications.
