Office Administrator Job Purpose

The Office Administrator will provide comprehensive administrative, financial, governance and operational coordination support to the Regional Manager.

The position involves coordinating regional administration across the Free State and North West offices while ensuring efficient resource management, compliance, business continuity and effective service delivery.

Key Responsibilities

The successful Office Administrator will be responsible for:

  • Coordinating regional administrative and operational support.
  • Supporting the Free State and North West Regional Offices.
  • Coordinating procurement planning and contract administration.
  • Assisting with regional resource coordination in line with organisational policies.
  • Supporting budget planning and expenditure monitoring.
  • Administering and reconciling petty cash.
  • Coordinating governance and audit preparation activities.
  • Supporting risk management and business continuity processes.
  • Maintaining appropriate records management systems.
  • Preparing, consolidating and submitting performance reports.
  • Preparing motivations and documentation for management and Executive decision-making.
  • Coordinating meetings, travel, training and other regional logistical arrangements.
  • Supporting fleet tracking and related administration.
  • Identifying opportunities to improve administrative efficiency.
  • Promoting cost-effective business practices.
  • Supporting Occupational Health and Safety compliance.
  • Assisting with Quality Management System activities.
  • Facilitating communication with internal and external stakeholders.
  • Maintaining productive professional relationships with stakeholders.

Office Administrator Requirements

Applicants must meet the following minimum requirements:

Education

  • Advanced Certificate in Secretarial or Administration at NQF Level 5.

Additional knowledge or qualifications in areas such as:

  • Marketing
  • Brand management
  • Basic management

Work Experience

  • At least 2 years’ experience in a similar administrative role.
