Job Purpose

The Workshop Clerk is responsible for the efficient administration of workshop and parts department activities. The successful candidate will manage job cards, supplier orders, documentation, banking, customer support, and administrative processes that contribute to the smooth operation of the workshop.

Minimum Requirements

Applicants must have:

  • Grade 12 (Matric)
  • At least 12 months of relevant administration experience
  • Computer literacy, including Microsoft Office
  • Basic knowledge of workshop administration
  • Understanding of vehicle parts and maintenance items
  • Ability to communicate fluently in English and Afrikaans (read, write, and speak)

Key Responsibilities

The successful candidate will:

  • Create and manage workshop job cards
  • Prepare pro-forma invoices for job cards
  • Create purchase orders for external suppliers
  • Process daily bank deposits
  • Maintain the risk file (GMR) and ensure all documentation is signed
  • Build and maintain strong relationships with customers, suppliers, and branch personnel
  • Respond promptly to customer and staff queries
  • Perform workshop administration duties
  • Assist with parts administration
  • Support training administration
  • Coordinate supplier support activities
  • Provide customer and team support
  • Manage managers’ diaries where required
  • Ensure effective communication across departments
