Judge’s Secretaries Requirements
Applicants must have:
- Grade 12 certificate.
- At least 20 completed modules towards an LLB, BA Law or BCom Law degree.
- A minimum of 2 years’ secretarial experience in the relevant field.
- Ability to pass a typing test.
- A valid driver’s licence will be an added advantage.

Judge’s Secretaries Duties
The successful candidates will provide comprehensive secretarial and administrative support to a Judge.
Key responsibilities include:
- Manage and diarise the Judge’s appointments and meetings.
- Type, file and process judgments.
- Ensure signed judgments and draft orders are properly processed and uploaded to relevant court systems and the library.
- Receive and screen visitors and attend to their queries.
- Record incoming and outgoing correspondence and documents.
- Order and collect stationery for the Judge.
- Collect criminal case files from the Registrar’s office before proceedings.
- Maintain registers for reviews and reserved judgments.
- Update relevant judgment templates and notify the Statistics Officer and Judge President’s office when judgments are delivered.
- Ensure transcribed judgments reach Judges for approval and signature.
- Prepare court rolls for opposed motions and urgent court.
- Distribute court documentation to relevant stakeholders.
- Ensure Heads of Argument are available to the Judge.
- Administer the appropriate oath, ID or declaration in court when required.
- Prepare the Judge’s bench book and ensure files are delivered to court.
- Confirm that relevant stakeholders are present before proceedings begin.
- Call cases on record according to the court roll.
- Handle, control and record criminal court exhibits professionally.
- Arrange the Judge’s travel and accommodation.
- Process relevant approval documentation.
- Submit the Judge’s vehicle logbook to the Transport Officer by the required deadline.
- Arrange vehicle maintenance and servicing.
- Process vehicle pre-authorisation requirements.
- Remind the Judge about invoices and assist with subsistence and travel claims.
- Assist with cellphone and 3G data claim submissions.
- Ensure updates to loose-leaf material in the Judge’s library are completed.
