The Gautrain Management Agency (GMA) is looking for a skilled and organised Committee Administrator to support the Office of the Company Secretary. The role focuses on corporate governance, sustainability, meeting coordination, documentation and administrative support.
The successful candidate will work closely with the Company Secretariat Team to support governance best practices and ensure sustainability initiatives are effectively integrated into organisational processes.
Committee Administrator Job Purpose
The Committee Administrator will provide administrative, logistical and coordination support to ensure the effective operation of governance and sustainability functions.
The role will contribute to efficient meetings, accurate records, compliance, reporting and organisational processes that support GMA’s strategic objectives.
Key Outcomes
The successful candidate for Committee Administrator will be responsible for:
- Meeting coordination and documentation.

Key Responsibilities
Meeting Coordination and Documentation
- Prepare agendas, meeting papers and reports for Board and Committee meetings.
- Assist with scheduling meetings, workshops and sustainability forums.
- Take, prepare and maintain accurate meeting minutes.
- Maintain governance and sustainability calendars, work plans and schedules.
Records and Document Management
- Audit and update statutory registers, including minutes, Board member records and declarations.
- Maintain governance and sustainability records according to the approved file plan.
- Assist with updating governance and sustainability SharePoint or resource sites.
- Ensure confidential documents are properly managed and accessible to authorised users.
Governance and Sustainability Support
- Assist with drafting, reviewing and updating governance policies and sustainability frameworks.
- Source and compile information for sustainability reports, newsletters and media updates.
- Support sustainability reporting by collecting information from relevant business units.
- Assist with external sustainability disclosures.
Coordination and Logistics
- Arrange venues, catering and technical requirements for Board meetings, workshops and forums.
- Coordinate travel and accommodation for key stakeholders.
- Ensure meeting documents, invitations and updates are distributed on time.
Research and Resource Materials
- Research governance, transport and sustainability trends.
- Source relevant articles, research and industry information.
- Prepare briefing materials, newsletters and resource packs.
- Compile information and data to support Board and Committee decision-making.
Administration and Procurement
- Support procurement requests and purchase requisitions.
- Follow up on invoices and related administrative matters.
- Manage stationery and office supplies for governance and sustainability teams.
- Maintain procurement and expenditure records.
Financial and Process Support
- Assist with the implementation of governance and sustainability initiatives.
- Support documentation and communication of process improvements.
- Participate proactively in team processes to improve efficiency and effectiveness.
