Job Purpose (Ward Administrator)
The Ward Administrator is responsible for coordinating all ward administration and secretarial duties, welcoming patients and visitors, supporting nursing staff, maintaining patient records, processing admissions and discharges, managing ward communication, and ensuring accurate administrative processes.
Key Responsibilities
Patient Admissions and Reception
- Answer telephone calls professionally and take messages.
- Welcome patients, doctors, representatives, and visitors.
- Allocate beds and process patient admissions.
- Update patient information boards.
- Ensure patient admission documentation is completed accurately.
- Verify patient information across hospital systems.
Transfers and Discharges
- Coordinate patient transfers between wards and hospitals.
- Ensure transfer documentation is completed correctly.
- Notify doctors, nursing staff, and patient families of transfers.
- Process patient discharges on SAP and CareON.
- Prepare discharge files for billing.
- Assist with follow-up appointments after discharge.
Ward Administration
- Assist with nursing staff scheduling when required.
- Update staff rosters using the Kronos system.
- Record meeting minutes.
- Update internal communication records.
- Support the Unit Manager with administrative duties.
Stock and Inventory Control
- Assist with ward stock management.
- Capture manual charge sheets.
- Monitor stationery and ward stock levels.
- Support the Stock Controller when required.
General Administrative Duties
- Maintain accurate patient statistics.
- Capture information on SAP.
- Update CareON, IMT, and SharePoint records.
- Conduct daily hospitality and patient feedback rounds.
- Log maintenance job cards and monitor completion.
- Ensure the reception area remains neat and organised.
- Assist with linen control.
- Coordinate flower deliveries to patients.
- Ensure patient equipment is functioning correctly.
Minimum Requirements
Essential
- Grade 12 (Matric) or NQF Level 4 qualification
- 2–3 years’ experience in an administrative role
- Computer literacy
Preferred
- Business Administration or Secretarial qualification
- Knowledge of SAP IS-H
