About the Role (Administrator )

The Front of House Administrator is responsible for ensuring the smooth operation of the reception and administration functions within the branch. The successful candidate will assist service advisors and branch management while maintaining accurate records and providing outstanding customer service.

Key Responsibilities

Customer Reception

  • Welcome customers professionally.
  • Book customer vehicles into the workshop.
  • Capture customer and vehicle information accurately.
  • Ensure all job cards are completed and signed.
  • Maintain an organised customer database.

Administration

  • File job cards and invoices daily.
  • Update analysis records.
  • Maintain records of returned parts.
  • Ensure accurate documentation.

Supplier Invoices and Stock Control

  • Capture supplier information, including VAT details.
  • Process supplier invoices.
  • Load stock onto the accounting system.
  • Manage stock received into the storeroom.
  • Process supplier returns and credit notes.

Customer Invoicing

  • Prepare accurate customer invoices.
  • Record vehicle mileage and work completed.
  • Capture authorised defects on invoices.
  • Obtain customer signatures before vehicle collection.
  • Ensure vehicles are released only after payment has been received.

Customer Payments

  • Process cash and approved card payments.
  • Follow CARtime payment procedures.
  • Assist management with payment administration when required.

Office and Stationery Management

Maintain sufficient stock of:

  • Office stationery
  • Files and paper
  • Printer cartridges
  • Invoice books
  • Job card books
  • Service books
  • Flyers
  • Staff overalls
  • Car wash supplies

  • Office groceries

General Duties

  • Answer incoming calls professionally.
  • Assist with obtaining parts pricing.
  • Keep the reception area clean and organised.
  • Offer refreshments to waiting customers.
  • Follow workplace health and safety procedures.
  • Present a professional appearance at all times.
  • Deliver exceptional customer service.

Working Hours

  • Monday to Friday: 07:00 – 17:30
  • Saturday: 08:00 – 13:00

Minimum Requirements

Applicants should have:

  • Grade 12 (Matric) or an equivalent qualification.
