About the Role
The Client Service Administrator will provide accurate and efficient pensioner payroll administration while delivering professional service to clients and intermediaries.
The role involves maintaining pensioner records, processing payroll transactions, responding to queries, managing documentation and ensuring all activities comply with service-level agreements, company policies and relevant legislation.
Minimum Requirements
Applicants applying for Client Service Administrator should have:
- Matric or equivalent qualification.
- At least 5 years’ experience in employee benefits.
- Experience in annuity or pensioner payroll administration will be advantageous.
- Strong knowledge of the employee benefits industry.
- Good product knowledge.

Key Responsibilities
Pensioner Payroll Administration
- Maintain accurate pensioner records, including banking details, addresses and medical aid information.
- Process monthly annuity updates and standard pensioner payroll transactions.
- Perform basic reconciliations and data corrections.
- Ensure accurate payment runs and payroll information.
- Assist with medical aid billing and monthly checks.
- Process routine death-related updates, including stopping payments and requesting required documentation.
- Conduct proof-of-existence checks.
- Follow up on outstanding documentation.
- Maintain accurate audit files and assist with audit queries.
- Support year-end administration processes.
Client Service
- Respond to pensioner queries via telephone, email and written communication.
- Resolve routine queries efficiently and professionally.
- Respond to client requests within the agreed 48-hour SLA.
- Handle complaints and take ownership of their resolution.
- Provide accurate information and relevant documentation.
- Distribute payslips, tax certificates, increase letters and other client communications.
- Manage client expectations and provide regular feedback.
- Escalate complex matters to Senior Administrators or the Administration Manager.
Administration and Compliance
- Capture and update client information accurately.
- Ensure documentation meets departmental and legislative requirements.
- Complete registers, reports and follow-ups within agreed deadlines.
- Use relevant IT systems effectively.
- Maintain accurate records for audit and compliance purposes.
- Identify and report process or system improvements.
- Help minimise financial and operational risks through accurate processing and adherence to internal controls.
Financial Responsibilities
The successful candidate will contribute to financial accuracy by ensuring correct processing of:
- Pensioner payroll.
- Tax submissions.
- Medical aid balances.
- Trustee payments.
- Payroll reconciliations.
- Financial documentation.
Any discrepancies or financial risks must be identified and escalated promptly.
