Job Purpose

The purpose of the PSETA Administrator ETQA Learner Achievements position is to provide effective and efficient administrative support to the ETQA Learner Achievements and Assessor and Moderator Unit.

The successful candidate will assist with learner achievements, certificates, assessor and moderator applications, external moderation requests, recordkeeping, stakeholder communication and general administrative activities.

PSETA Administrator Requirements

Applicants must meet the following minimum requirements:

  • A minimum NQF Level 5 Certificate in:
    • Office Administration
    • Human Resources
    • Social Science
    • Business Administration
    • Or a related field.
  • At least 3 years’ experience in administration.
  • A Code B driver’s licence.
  • Strong time management skills.
  • Good teamwork skills.
  • Strong interpersonal and communication skills.
  • Good decision-making ability.
  • Creativity and innovation.
  • Conflict management skills.
  • Adaptability and flexibility.

Key Responsibilities

Administrative Support

The successful candidate will:

  • Act as the first point of contact for departmental enquiries.
  • Receive, record, distribute and track incoming and outgoing correspondence.
  • Manage documentation relating to learner achievements and assessor and moderator registrations.
  • Organise and maintain paper-based and electronic information.
  • Receive and acknowledge external moderation requests.
  • Schedule external moderation activities and communicate dates to stakeholders.
  • File moderation reports and communicate approved reports to relevant stakeholders.
  • Print learner certificates in accordance with PSETA’s Certificate Policy.
  • Make copies of signed certificates and maintain the required records.
  • Update and maintain certificate registers.
  • Dispatch certificates to stakeholders.
  • Receive and acknowledge assessor and moderator applications.
  • Maintain databases and registers relating to applications.
  • Provide administrative guidance to internal and external stakeholders.
  • Create and maintain applicant files.
  • Conduct pre-evaluations and provide feedback to applicants.
  • Submit compliant application files to the relevant Specialist for evaluation.
  • Capture approved applicants on the PSETA system.
  • Generate and email registration letters to approved candidates.
  • Schedule meetings, take minutes and distribute them to stakeholders.
  • Arrange staff travel and accommodation.
  • Retrieve information for monthly, quarterly and annual reports.
  • Provide administrative and project support to the unit.
  • Coordinate travel, workshops, venues and other logistics.
  • Liaise with Supply Chain Management and relevant stakeholders.
  • Maintain an effective recordkeeping system.

Compliance and Risk Management

The Administrator will be expected to:

  • Operate within PSETA’s controls, policies and procedures.
  • Maintain the integrity of PSETA operations.
  • Identify and report risks and areas of concern to management.
  • Ensure compliance with relevant legislation, regulations and procedures.
  • Help prevent fruitless, wasteful and irregular expenditure.

Cost Control

Responsibilities will also include:

  • Promoting effective and transparent use of financial and other resources.
  • Controlling expenditure within approved budgets.
  • Following PSETA financial guidelines.
  • Reporting deviations to the relevant manager.
  • Identifying opportunities to reduce and control costs.

Customer Service

The successful candidate must provide professional service to internal and external stakeholders by:

  • Maintaining effective working relationships with customers.
  • Delivering high-quality administrative services.
  • Identifying and resolving problems appropriately.
  • Demonstrating integrity and professionalism.
  • Providing advisory and administrative support to stakeholders.
  • Ensuring that customer needs are addressed effectively.
