JDI is seeking a professional and detail-oriented Office Administrator and Receptionist to join its Hankey branch. The ideal candidate will deliver exceptional front-desk service, handle office administration, and support daily branch operations to ensure smooth coordination across departments.
Key Responsibilities
Reception & Customer Service
- Provide warm and professional front-desk reception for all visitors.
- Manage calls, enquiries, and client complaints effectively.
- Keep reception and public areas clean, organized, and welcoming.
- Support walk-in customers and assist with over-the-counter sales.
Administrative Support & Branch Coordination
- Coordinate deliveries, collections, and logistics efficiently.
- Manage office records, documentation, and filing systems.
- Assist with procurement, purchase orders, and staff training logistics.
Financial Administration
- Handle petty cash, invoices, and reconciliations.
- Capture daily bank transactions and assist with debtors management.
- Maintain procurement and branch expense registers.
- Ensure all KYC/FICA documentation is accurate and complete.
Personnel & Compliance
- Maintain complete, up-to-date staff files and schedules.
- Support Health & Safety compliance and training coordination.
- Monitor overtime and maintain accurate staff attendance records.
Travel & Logistics
- Arrange travel, accommodation, and vehicle rentals.
- Record and reconcile all travel-related expenses.
Inventory & Supplies
- Track and manage office, stationery, and PPE stock.
- Maintain vehicle usage logs and consumable issue records.
Reporting & Workshop Support
- Compile accurate reports, checklists, and registers for audits.
- Create and close job cards in coordination with the workshop team.
- Provide administrative support to operations and marketing.
Minimum Requirements
Qualifications Required for Office Admin and Receptionist
- Grade 12 / National Senior Certificate (compulsory).
- A Diploma or Certificate in Office Administration, Business Administration, or Customer Service will be advantageous.
- Valid Code 8 (EB) driver’s licence.
Experience:
- 3–5 years’ experience in office administration or reception, ideally in a multi-branch environment.
Skills and Competencies
Applicants for Office Admin and Receptionist must be:
- Excellent telephone, interpersonal, and communication skills.
- Strong organizational, planning, and time management abilities.
- Proficient in MS Office and basic financial administration.
- Attention to detail, accuracy, and professionalism in all tasks.
