About the Role: Call Centre Administrator
The Call Centre Administrator plays a critical administrative support role within Tracker’s Customer Experience environment. The position ensures smooth day-to-day call centre operations through effective coordination, procurement support, communication management, rewards administration, and executive support.
This role requires initiative, excellent organisational skills, and the ability to manage multiple priorities with accuracy and professionalism.
Minimum Requirements
To qualify for this Call Centre Administrator vacancy, candidates must meet the following requirements:
- Matric / Grade 12 qualification
- Certificate in Administration or Secretarial Studies
- Proficiency in Microsoft Excel, Word, and PowerPoint
- Strong organisational and administrative skills
- Excellent communication and attention to detail
Key Duties and Responsibilities
Call Centre Administration & Operations
- Manage the courier process at Head Office
- Compile weighbills and submit documentation to Finance
- Submit purchase orders for courier services timeously
- Perform quality control, receiving, and daily distribution of parcels
- Arrange and train backup resources for continuity
Incentives, Procurement & Finance Support
- Manage and issue approved incentives via the electronic rewards system
- Request and manage monthly incentive budgets per department
- Support procurement by ordering supplies and managing vendor payments
- Reconcile credit card expenditure and maintain payment records
- Load purchase orders for managers as required
Communication & Coordination
- Communicate process changes to impacted stakeholders
- Coordinate and execute monthly Rewards & Recognition initiatives
- Drive proactive call centre communications and projects
- Compile and update the Call Centre organogram monthly
- Maintain and update email distribution groups
Executive & Office Support
- Minute taking and distribution when required
- Calendar management including meetings, appointments, and reminders
- Professional handling of emails and calls
- Draft reports, presentations, and correspondence
- Maintain organised digital and physical filing systems
- Order beverages and manage walk-in client refreshments
Employee Engagement & Support
- Drive new employee welcome initiatives monthly
- Coordinate executive engagement for new employees
- Stand-in and provide backup support to Executive PAs
